Hydration Room (“we,” “us,” or “our”) operates shop.hydrationroom.com (the “Store”). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you visit or make a purchase from the Store.   • Payment Information: Credit/debit card details and billing information. Payment is processed securely by Stripe — we do not store, access, or retain your full card numbers on our servers.
  • Account Information: Email address and password when you create an account to manage subscriptions and view order history.
  • Communications: Any information you provide when contacting our customer support team, including email correspondence and feedback.

Information Collected Automatically

  • Device and Browser Information: IP address, browser type and version, operating system, device type, and screen resolution.
  • Usage Data: Pages visited, time spent on pages, referring URLs, click patterns, and navigation paths.
  • Location Data: Approximate geographic location derived from your IP address.
  • Cookies and Tracking Technologies: We use cookies, pixels, and similar technologies to collect browsing data. See Section 5 (Cookies) for details.

We do not sell your personal information to third parties. We do not share your personal information with third parties for their own marketing purposes without your explicit consent.

We may also disclose your information if required by law, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

To the extent that our use of analytics or advertising cookies constitutes “sharing” under the CCPA, you may opt out through our cookie consent preferences.

When submitting a request, please include:

  • Your full name and email address associated with your account.
  • A description of the specific right you wish to exercise.
  • Sufficient information to verify your identity (e.g., order number, account email).

We will verify your identity before fulfilling any request. For “right to know” and “right to delete” requests, we may ask you to confirm information we have on file. We will respond to verified requests within 45 calendar days as required by the CCPA. If additional time is needed, we will notify you of the extension (up to an additional 45 days) and the reason for the delay.

You may designate an authorized agent to submit a request on your behalf. Authorized agents must provide proof of authorization (such as a signed written permission or power of attorney).

7. Email Marketing and CAN-SPAM Compliance

We comply with the CAN-SPAM Act. When you provide your email address, you may opt in to receive marketing communications from us. You have the right to:

  • Opt out at any time by clicking the “unsubscribe” link included in every marketing email.
  • We will process your unsubscribe request within 10 business days.
  • Transactional emails (order confirmations, shipping notifications, subscription reminders) are not marketing and will continue to be sent as necessary to service your account.

We will never use false or misleading header information or deceptive subject lines in our emails.

8. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Specific retention periods include:

  • Order and transaction records: 7 years minimum (tax and financial compliance).
  • Account information: Until you request account deletion or your account has been inactive for 3 years.
  • Marketing preferences: Until you unsubscribe or request deletion.
  • Analytics data: Retained in aggregate, anonymized form and not linked to individual identities.
  • Customer support communications: 3 years from the date of last communication.

When personal information is no longer needed, we will securely delete or anonymize it.

9. Data Security

We implement industry-standard security measures to protect your personal information, including:

  • SSL/TLS encryption for all data transmitted between your browser and our Store.
  • PCI DSS-compliant payment processing through Stripe — we never store, process, or have access to your full credit card numbers.
  • Restricted access to personal data on a need-to-know basis among our staff.
  • Regular security monitoring of our hosting infrastructure (managed by Kinsta, a Google Cloud-powered WordPress hosting provider).

While we take reasonable precautions to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to maintaining appropriate safeguards.

10. Children’s Privacy

The Store is intended for adults aged 18 and older. We do not knowingly collect personal information from children under the age of 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as promptly as possible. 11. International Users

The Store is operated in and intended for users in the United States. We do not ship internationally. If you access the Store from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

12. Do Not Track Signals

Some web browsers transmit “Do Not Track” (DNT) signals. There is no uniform standard for responding to DNT signals. We currently do not respond to DNT signals but provide cookie consent controls as described in Section 5 above.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

  • Post the updated policy on this page with a revised effective date.
  • Notify you via email if the changes significantly affect how we handle your personal information.
